Privacy Policy
Effective date: September 1, 2026
This Privacy Policy explains how Nicholas Potter, an Illinois sole proprietor doing business as Quantum Marketing (“Quantum Marketing,” “we,” “us,” or “our”), handles personal information when you visit, create an account for, purchase, or use quantumBasics (the “Service”).
This Policy distinguishes information we handle for our own business operations from Customer Content that business customers place in the Service. For Customer Content, the customer generally determines why and how the information is used, and Quantum Marketing processes it to provide the Service.
The Service is intended for U.S. businesses and adults acting in a business or professional capacity. It is not directed to children.
1. Scope
This Policy applies to the quantumBasics website, account-registration and subscription process, application, support communications, and related services that link to this Policy. It does not apply to third-party websites or services that have their own privacy policies.
2. Information We Collect
Account and Business Information
We may collect your name, email address, business name, role, login information, and workspace details. We use this information to create and administer accounts, authenticate users, and provide support.
Subscription and Transaction Information
We may collect your selected plan, billing status, transaction identifiers, and billing contact details. We use this information to process subscriptions, maintain business records, and prevent fraud.
Customer Content
Customers may enter contacts, leads, notes, appointments, opportunities, files, communications, and other business information into the Service. We process this information to provide CRM functionality according to the customer’s instructions.
Usage and Device Information
We may collect your IP address, browser, device type, timestamps, feature activity, diagnostic information, and security logs. We use this information to operate, secure, troubleshoot, and improve the Service.
Communications
We may collect support requests, feedback, account notices, correspondence, and other communications between you and Quantum Marketing. We use this information to respond to requests, provide support, and maintain business records.
Cookies and Similar Technologies
We may collect session, authentication, security, and preference information through cookies and similar technologies. We use this information to keep users signed in, remember settings, and protect the Service.
Payment Information
Stripe processes subscription payments. We receive information such as payment status, plan, billing contact details, and transaction identifiers. We do not receive or store your complete payment-card number or card verification code. Stripe handles payment information under its own privacy policy.
Information We Do Not Intend to Collect
quantumBasics is not designed to store Social Security numbers, full payment-card data, government identification records, protected health information subject to HIPAA, biometric identifiers, or information about children under 13.
Customers must not place this information in the Service unless Quantum Marketing has expressly authorized it in a separate written agreement.
3. Sources of Information
We collect information:
- directly from you when you register, subscribe, configure a workspace, contact support, or use the Service;
- from a customer or workspace administrator who creates or manages an account for you;
- automatically from browsers, devices, logs, cookies, and security systems when the Service is used;
- from service providers such as Stripe and Base44 when they provide services to us; and
- from business customers when they enter Customer Content into their workspace.
4. How We Use Information
We use personal information to:
- provide, operate, maintain, and support quantumBasics;
- create accounts, authenticate users, and administer workspaces;
- process subscriptions, billing, cancellation, and related records;
- respond to questions, support requests, feedback, and disputes;
- personalize settings and improve usability and reliability;
- monitor performance, diagnose errors, and develop Service improvements;
- detect, investigate, and prevent fraud, abuse, security incidents, and prohibited activity;
- send transactional and administrative communications about accounts, subscriptions, security, and material policy changes; and
- comply with law, enforce agreements, and protect rights, safety, and property.
We do not use Customer Content for unrelated advertising, and we do not sell Customer Content.
5. Customer Content and Our Role
Business customers may use quantumBasics to store information about their leads, clients, prospects, contractors, employees, and other contacts. The business customer controls that Customer Content and is responsible for providing privacy notices, obtaining required permissions, honoring individual rights, and using the information lawfully.
Quantum Marketing processes Customer Content to provide, secure, maintain, and support the Service, follow documented customer instructions, comply with law, and enforce agreements.
If your information appears in a customer’s quantumBasics workspace and you want to access, correct, or delete it, contact that customer first. We will assist the customer as required by applicable law and our agreements.
6. How We Disclose Information
We may disclose personal information in the following circumstances:
Service Providers
We use providers that support hosting, application infrastructure, authentication, databases, payments, security, and technical operations. These providers include Base44 and Stripe. They may process information only for contracted services and subject to their applicable obligations.
Workspace Administrators and Authorized Users
Information in a workspace may be available to the workspace owner, administrators, and authorized users according to configured permissions.
Legal and Safety Purposes
We may disclose information when reasonably necessary to comply with law or legal process, respond to lawful requests, investigate fraud, security issues, or violations, or protect rights, safety, and property.
Business Transactions
Information may be disclosed in connection with a financing, merger, acquisition, reorganization, sale of assets, or transfer of all or part of the Service, subject to appropriate confidentiality protections.
With Direction or Consent
We may disclose information when you direct us to do so or provide valid consent.
We do not sell personal information for money. Based on our current practices, we do not share personal information for cross-context behavioral advertising or use it for targeted advertising.
7. Cookies and Similar Technologies
We use cookies and similar technologies that are necessary for authentication, security, session management, preferences, and operation of the Service. Browser settings may allow you to block or delete cookies, but blocking necessary cookies may prevent login or other features from working.
We currently do not use third-party advertising cookies. If we add analytics, advertising, or other nonessential tracking technologies, we will update this Policy and provide choices when required by law.
8. Data Retention
We retain account, subscription, transaction, support, and security information for as long as reasonably necessary to provide the Service, administer the business, comply with tax and legal obligations, resolve disputes, prevent fraud, and enforce agreements.
After a subscription ends, the workspace owner has a 30-day window to request or complete an export of available Customer Content. After that window, we may delete or de-identify Customer Content from active systems.
Information may remain in protected backups for a limited period until overwritten under ordinary backup schedules, and we may retain specific records when required by law or necessary for security, fraud prevention, or disputes.
Retention periods vary based on the type of information, why it was collected, legal requirements, sensitivity, and operational needs.
9. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, and disclosure. Safeguards may include access controls, authentication, encryption provided by our infrastructure and payment providers, logging, and restricted administrative access.
No internet service or storage method is completely secure. You are responsible for using strong credentials, protecting login information, configuring workspace permissions, and promptly reporting suspected unauthorized access.
10. Your Privacy Choices and Rights
You may update certain account information through the Service or contact us at info@quantummarketing.biz.
Depending on where you live and which laws apply, you may have rights to request:
- access to certain personal information;
- correction of inaccurate personal information;
- deletion of certain personal information;
- a portable copy of certain personal information;
- information about how your personal information is used or disclosed; or
- an appeal of a decision concerning a privacy request.
To submit a request concerning information Quantum Marketing controls, email info@quantummarketing.biz with the subject “Privacy Request.”
To appeal a decision, email info@quantummarketing.biz with the subject “Privacy Appeal.”
We may need to verify your identity and authority before completing a request. Authorized agents may be required to provide proof of authorization.
If your request concerns Customer Content placed in the Service by one of our business customers, contact that customer first. We may forward your request to the relevant customer or assist that customer in responding.
We will not discriminate against you for exercising a privacy right provided by applicable law. Some information may be exempt from a request, and we may retain information when legally permitted or required.
11. Communications
We may send service-related messages such as login, security, billing, cancellation, support, and material policy notices. These messages are part of operating the Service.
If we send optional marketing emails, you may unsubscribe through the link in the message or by contacting us. Unsubscribing from marketing does not stop essential service communications.
12. Children
The Service is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13. Accounts are limited to users who are at least 18 years old.
If you believe a child provided personal information directly to us, contact info@quantummarketing.biz so we can investigate and take appropriate action.
13. United States Operations
quantumBasics is offered to U.S. businesses. Information may be processed and stored in the United States by Quantum Marketing and its service providers.
If you access the Service from outside the United States despite its intended market, your information may be transferred to and processed in the United States.
14. Changes to This Policy
We may update this Policy to reflect changes in the Service, providers, data practices, or law. We will post the updated Policy and revise the effective date.
If changes materially affect how we use personal information, we will provide additional notice through the Service or by email when required.
